About the Edmonton Chapter
A formal records management program was legislated in Alberta during the early 1970s. This resulted in high demand for records management training and education. Some key individuals working for the provincial government at the time collaborated to establish a chapter in the Edmonton area. On October 12, 1975, the ARMA Edmonton Chapter was chartered. Today the chapter provides training, education, and networking opportunities to members.

Board Roles and Responsibilities
President Provides leadership to the board regarding the focus and strategy of the Chapter · Provide leadership to committees as required · Reciprocal contact with ARMA International re: member list, financial status, complaints, names of chapter board, etc. · Acknowledges letters and other correspondence addressed to the chapter and route to the appropriate board member · Provides newsletter content (President’s letter) · Prepare and present speeches at venues and events · Signs cheques · Attends all meetings · Be a spokesperson and advocate for the Board · Manages web email inbox and responds to members and others accordingly.
Vice President Acts as back up to the President · Manages chapter constitution and by-laws · Attends all meetings · Acts as a mentor and contact person for orientation purposes for new Directors · Manages web email inbox and responds to members and others accordingly · Leads and supports projects and activities as identified by the Board of Directors.
Secretary Takes, prepares and obtains approval of meeting minutes and agendas · Provides Board meeting materials · Maintains a contact list of Directors · Secures a venue for monthly Board Meetings · Maintains all current and archival ARMA Edmonton Chapter records · Coordinates and manages all aspects of AGM (find venue, prepare announcements, obtain budget approval, catering, etc.) · Receives current Admin. E-mail · Attends all meetings · Signs cheques · Be a spokesperson and advocate for the Board · Manages portfolio web email inbox and responds to members and others accordingly.
Treasurer (2-year term) Files and hold all ARMA Edmonton Chapter financial records for appropriate periods · Keep insurance and payments up to date. Also, Keep tax files up to date · Ensure that records are collected purchases, receipts for collected money and cheques for payments (excluding petty cash payments) · Ensure that all accounts are current and balanced, especially if the financial year has already begun · Prepare and present regular financial reporting to Board of Directors · Sign off all financial reports · Monitor receipts and payments against budget · File all financial reports, bank reconciliations, payment vouchers and any other documentation that may be required to verify the financial position of the ARMA Edmonton Chapter · Prepare annual financial reporting and provide to members at Annual General Meeting · Generate annual financial statements and file to meet all reporting requirements · Arrange for review and reporting of annual financial statements. · Prepare a budget with assistance of Board of Directors · Manages mail · Signs cheques · Attends all meetings · Be a spokesperson and advocate for the Board · Manages portfolio web email inbox and responds to members and others accordingly.
Programs Director Through a needs assessments identifies programs of interest to members and develops an annual program · Project manages all aspects of programs · Sources and secures speakers for programs · Determines theme of events · Drafts program agenda and details and speaker bios and post on website · Works with Directors to manage promotion of events (in collaboration with Newsletter Director and Membership Director) through email circulation to members, student outreach, social media, and the newsletter. · Sources and secures venue · Analyses the results of the feedback forms and presents to the board · Coordinates catering for programs · Works with Communications and Website Director to share program materials within 1 week of program · Secure sponsorships · Manages technical set up for programs · Acts as a spokesperson and advocate for the Board · Manages web email inbox and responds to members and others accordingly.
Membership Director Responds to questions from the membership · Promotes and encourages increased membership in ARMA Edmonton Chapter with assistance from the Board · Creates and distributes a welcome message to new members · Manages member list on Website (i.e. adds new members, renewal notice, e-mail blasts, potential new members for Chapter) · Coordinates Networking Socials (including sourcing and securing venues, RSVPs, catering, communicating to membership, etc.) · Attends all meetings · Acts as a spokesperson and advocate for the Board · Manages portfolio web email inbox and responds to members and others accordingly · Liaises with educational institutions to bring awareness of ARMA Edmonton to students.
Communications Director Manages website, including creating content as needed and ensuring content is up to date. · Issues email broadcasts to members in support of Edmonton Chapter activities and events · Coordinates Website postings · Coordinates social media postings · Attends all meetings · Spokesperson and advocate for the Board · Manages portfolio web email inbox and responds to members and others accordingly.
Newsletter Volunteer Creates a newsletter targeted to needs of Edmonton Chapter members · Project manages the production of the newsletter · Designs the layout · Provides some content such as member profile, photos, synopsis of past program, current education being offered, etc. · Manages portfolio web email inbox and responds to members and others accordingly.
Director-At-Large Attends all meetings · Contributes to priority projects and activities as assigned · Supports new Board members through mentoring · Acts as advocate for the Board and its activities · Supports membership engagement · Manages web email inbox and responds to members and others accordingly.
